AI and Donor Engagement: What to Tell Donors and How to Protect Trust

AI can help nonprofits communicate faster, personalise outreach, and reduce staff workload. It can also—if used carelessly—make donors feel manipulated, surveilled, or replaced by automation. The future of AI-powered donor engagement won’t be won by the flashiest tools. It will be won by the organisations that keep trust at the centre.

This starts with a mindset shift that AI is not a shortcut to relationships. It can support relationships, but it cannot replace the human care, accountability, and authenticity that donors are actually responding to.

 

Communicating AI Use to Donors

The question I get asked most in this work is “What should we tell donors when it comes to using AI?”

My answer is that you don’t need a formal announcement, like “We have adopted AI”, but you do need a clear stance that protects trust. A good transparency baseline is:

If AI meaningfully shapes donor-facing communication, segmentation, or decisions, you should be able to explain it simply.

If your AI use touches personal data, you should be explicit about safeguards.

Here is some examples donor-friendly language that you can adapt to your voice:

“We sometimes use technology, including AI-assisted tools, to help our small team draft communications, summarise non-confidential insights, and improve how we serve our community. We do not use AI to replace human decision-making, and we do not enter sensitive personal information into public AI tools. Our team reviews all donor communications before they are sent.”

Donors generally respond well when your message is: we use tools to be more effective, and we protect your dignity and privacy.

 

Setting Safeguards

Are there risks donors should know about? Yes—and naming them thoughtfully builds credibility. You are not trying to scare donors; you are showing that you take responsibility seriously.

Common risks in donor engagement include:

1) Privacy and data misuse

AI tools can increase the temptation to “use more data” because they can process more data. But more data isn’t always better, especially if donors didn’t consent to certain uses.

Safeguard:

  • Only use donor data in ways aligned with stated privacy practices and consent

  • Avoid feeding donor-identifiable data into tools that don’t guarantee strong protections

2) Over-personalisation that feels creepy

Personalisation can cross a line when it feels like surveillance, and donors start thinking “How did they know that about me?” This is where trust quietly erodes.

Safeguard:

  • Keep personalisation anchored to what donors knowingly shared or what’s reasonably expected

  • Prefer relevance over hyper-specificity

3) Bias and unfair targeting

AI-driven segmentation can unintentionally reinforce inequities—who gets asked, who gets stewarded, who gets left out, who gets assumed to have capacity.

Safeguard:

  • Regularly audit segmentation and outreach patterns for skewing

  • Ensure community-centric ethics: don’t treat people as extraction targets

4) Hallucinations and inaccuracies

AI can produce confident-sounding errors. In fundraising, a single inaccurate claim can damage credibility.

Safeguard:

  • Human review is non-negotiable

  • Use AI for drafts, not facts

 

Maintaining Trust in the AI Era

So, the primary, crucial, and inevitable question here is: how do we keep trust at the centre while using AI? Trust is built through consistent behaviour. Let’s explore practical trust-centring commitments.

Commitment 1: Human accountability stays visible

Donors want to know that a real team is accountable. Even if AI helped draft a message, ensure the relationship feels human:

  • Include a real person’s name and a way to respond

  • Respond thoughtfully when donors reply

  • Avoid “no-reply” automation for relationship-building emails

Commitment 2: Donor dignity over optimisation

AI can optimise for clicks, conversions, and timing, but donor trust is not a growth hack. Ask:

  • Does this message respect the donor’s intelligence and agency?

  • Are we using urgency ethically?

  • Would we be comfortable if this were public?

Commitment 3: Clear boundaries on what AI does

A simple internal rule that protects trust:

  • AI can help draft, summarise, and organise

  • AI should not be the final voice, final decision-maker, or final judge of a person’s intent

 

Aligning AI with Your Mission and Values

Here is a step-by-step process I often use when working with nonprofits to ensure AI aligns with mission and values.

Step 1: Create an “AI use case filter”

Before adopting an AI approach in donor engagement, ask:

  • Mission fit: Does this support our mission or distract from it?

  • Consent fit: Do we have permission to use data this way?

  • Equity fit: Could this create exclusion, bias, or harm?

  • Trust fit: How might this feel to a donor if they knew?

  • Human fit: Who is accountable for review and outcomes?

If you can’t answer these clearly, pause.

Step 2: Document what data is used—and what is never used

Have a simple list that details AI use cases. For example:

  • Allowed: general engagement signals, broad preferences, non-sensitive history

  • Never: sensitive personal data, case information, health data, anything donors wouldn’t expect

Documentation like this protects both donors and staff.

Step 3: Build a review checklist for donor-facing content

Before sending anything drafted with AI support, check:

  • Accuracy (facts, names, claims, dates)

  • Tone (warm and respectful, not manipulative)

  • Accessibility (clear language, readable structure)

  • Equity (no stereotyping, no assumptions about capacity)

  • Transparency (does this require disclosure?)

Step 4: Offer an opt-out path that is easy and dignified

Trust grows when people have choices. Make it simple for donors to:

  • Update preferences

  • Access donor records

  • Ask questions about use of AI on their data

  • Opt out of personalisation or certain communications: “Easy to leave” is a strange but powerful trust signal

The fundamental north star here will always remain in relationships, not automation.

AI can absolutely support donor engagement—especially for small teams that are stretched thin. But the measure of success isn’t “we automated more.” It’s “we strengthened trust while doing our work with more care and consistency.”

By keeping donors informed and holding us humanly accountable, AI can be what it should be: a tool that supports integrity—not a shortcut that undermines it.
