Quick Tips

When to Use Additional Addressee/Salutations

Addressees and salutations are used throughout The Raiser's Edge to determine how constituent names should be formatted. Primary addressee and primary salutations should display the way your constituents request to be addressed the majority of the time. Additional addressees and salutations add flexibility to format names differently, based on the task you are completing.

Let's say you're preparing invitations for a board meeting that is not open to spouses. Generally, the primary addressee and primary salutation include both members of a couple; therefore, they will not work for this mailing. You can add a new additional addressee (e.g., Board Addressee) to all board members and use it for the mailing. Here's how:

  1. Create an addressee/salutation (BB26317) that contains only constituent fields.
  2. Create a query of your board members.
  3. Add the new addressee globally in Administration (BB59918).

To learn more about using addressees and salutations in The Raiser's Edge 7, review the Constituent Mailing Information chapter of the Constituent Data Entry Guide (PDF 5.50M).

To find this information in Knowledgebase, enter When to use additional addressee/salutations in The Raiser's Edge 7, select Raiser's Edge 7, and click Search. It's BB96322.

Querying on Cumulative Giving

With the end of 2007 approaching, you may be reviewing your constituents' cumulative giving. Let's say you want to send holiday cards to donors who gave gifts totaling £1,000 or more in 2007. By using the Total Amount of Gifts field and specifying amounts and dates on the Edit Field Criteria screen, you ensure your query groups the correct constituents. Here's how:
  1. Create a new constituent query.
  2. Filter on Summary Information, Summary For Gift, Total Amount of Gifts.
  3. On the Edit Field Criteria screen's General tab, the operator is greater than or equal to and the value is £1,000.
  4. Select the Edit Field Criteria screen's Filter tab.
  5. Add Gift Date equals Last calendar yr as criteria.
  6. Click OK.

Note: By default, the Total Amount of Gifts field includes Cash, Pledge, MG Pledge, Stock/Property, Stock/Property (Sold), Gift-in-Kind, Other, and Recurring Gift Pay-Cash gift types. Write offs (Write Off) and matching gift write offs (MG Write Off) are subtracted from totals. To summarise different gift types, filter by Gift Type and select the types to include. For more information, review What are the default gift types and how to include other gift types when querying on summary information? (BB66390).

To learn more about using addressees and salutations in The Raiser's Edge 7, review the Work with Advanced Query Functions chapter of the Query and Export Guide (PDF 2.90M).

To find this information in Knowledgebase, enter How to query on constituents' total giving within a date range, select Raiser's Edge 7, and click Search. It's BB339158.

Where Would You Be if You Lost Your Database?

Planning ahead is the key to preventing data loss. We strongly recommend you ensure your data's safety by making database backups daily, testing the backups frequently, and storing the backups in off-site locations safe from fire, flood, and theft. If you need a push to get your plan in place, review the following articles on Microsoft's website: Also review How to back up the database (BB52243) and What are the recommended backup procedures? (BB291), which includes several data loss stories clients have shared.
