Quick Tips

Adding Matching Gift Companies and Matching Gift Pledges
Many organisations match their employees' donations, and, in The Raiser's Edge, it's easy to add matching gift companies and gifts.
Adding Matching Gift Companies:

  1. Add an organisation record for the matching gift company (if one doesn't already exist).
    • If the organisation matches all of its employees' gifts, add the matching gift information on the organisation record's Org 1 tab.
    • If the organisation matches some, but not all, employees' gifts, add the matching gift information on the General 2 tab of the organisation relationship record on the individual's constituent record.
  2. Mark the Organisation matches gifts checkbox.
  3. Factor represents the ratio of the matching gift amount to the amount of the matched gift (e.g., "2.00" indicates the company matches a £100 gift with a £200 matching gift pledge).
  4. Enter the financial year start date, as needed.
  5. In the fields provided, enter any limits that apply to the company's matching gift policy.
  6. Organization matches gifts

  7. Save the changes.
  8. Now, the company appears in the search results when you search for matching gift companies.

Adding Matching Gift Pledges:

Note: If the individual and organisation are linked as relationships and the Organisation matches gifts checkbox is marked on the General 2 tab of the organisation relationship record, a matching gift pledge is generated automatically each time you add a gift on the individual's constituent record.

If the records are not linked, follow these steps:
  1. Select the gift record's Matching Gifts tab.
  2. Click New Matching Gift.
  3. Click the binoculars and search for the matching gift company. This search is limited only to organisations for which the Org 1 tab's Organisation matches gifts checkbox is marked.
  4. The gift details default based on the information on the organisation's Org 1 tab and the individual's gift — adjust as needed.
  5. When you save the matching gift, it appears as an MG Pledge on the organisation's Gifts tab; a reference to the MG Pledge also appears on the individual's Gifts tab.
  6. When you receive payment from the organisation, add a gift on the organisation's Gifts tab and apply it toward the outstanding matching pledge balance.

You can find this information in Knowledgebase (BB46624) when searching by How to add a matching gift company and a matching gift pledge.

Finding the Right Report
The Raiser's Edge has more than 100 standard reports. Have you ever wondered which one you should run? Here are some techniques that will help you find a report that suits your needs:

  • Determine what information you need. It may seem obvious, but it's important to start with a clear picture of your desired outcome. Are you reporting on constituent giving? If so, consider the Financial Reports category. Do you need information about pledges? If so, consider the Pledge Reports. For database analysis, consider the Analytical Reports and the Demographic and Statistical Reports categories.
  • Review the Sample Reports Guide (PDF 1.45M). This guide divides the standard reports into the same broad categories. For each report, you'll find a brief overview, parameter descriptions, and a preview of what the report looks like. To access the guide from within The Raiser's Edge, select Help, User Guides from the menu bar. Select Reports, Sample Reports Guide.
  • Access built-in Help topics if you have any questions. Helpful report hints appear at the bottom of each Reports page in The Raiser's Edge. When looking at Report Categories, you can review a list of Commonly Used Reports. When looking at a specific report, you'll see brief report descriptions and copies of sample reports. Also, press F1 within report parameters to review descriptions of available options on each tab.
  • Review The Raiser's Edge FAQs. The Outputting Information section contains links to Knowledgebase solutions about reports. The FAQs also contain information about report options, anonymous gifts, and troubleshooting report problems. These are updated regularly to reflect current information as well as new report features.
  • Try reports with a test query first. So you understand how a report processes, run it using a small test query that contains only records with which you're familiar. Consider including a few records with complicated giving histories, so you can see how their gifts are treated. Click Layout to quickly preview a report using a few records from the sample database. Make sure you experiment with the report parameters — you'll learn how different parameters impact the report totals.
  • Save your report parameters. Once you've determined which report you need, document and save your report parameters. When you do, if you re-run it later, you'll be comparing apples to apples. You'll save time and your totals will be consistent. To print a control report, select the Format tab, highlight Criteria, and mark the Print Report Criteria checkbox. Keep in mind that each report is designed to look at data differently, to give you different types of information about your database, so comparing totals between different reports may not provide identical results.
  • Document it in a policies and procedures manual. After taking the time to determine what reports you need, create an office policy and document it in your policies and procedure manual (BB90981).

You can find this information in Knowledgebase (BB8368) when searching by How to determine which report to run in The Raiser's Edge.
